How do I add staff so they can reply too?
This is central to how WACO works: your whole team replies from one WhatsApp number in one place, and adding staff does not increase your subscription. However large your team gets, the price stays the same.
Inviting a member of staff
- Open the shared inbox from your dashboard (the "Open shared inbox" button).
- Go to Settings → Agents (the gear icon).
- Click Add Agent, enter their name and email, choose their role, and send the invitation.
- They receive an email invitation, set their own password, and can start replying immediately.
Note that Teams is a different setting. It groups agents who already exist; it is not where you add people.
If a new agent's inbox looks empty
Adding an agent and giving that agent access to an inbox are two separate things. Newly invited staff can sign in and see the whole interface, but their inbox stays empty until they are listed as a member of it. There is no error message — just emptiness — which is why this is so often mistaken for a fault.
For most businesses we handle this automatically. If you have a single number, new staff get access on their own shortly after being invited; opening the Settings page of your dashboard applies it immediately.
If you have more than one number, we deliberately leave it alone — separation between branches is usually intentional. Set it yourself: Settings → Inboxes → pick the number → Collaborators, add the staff member, then Update. Repeat for each inbox they should be able to read.
The address you give your staff
Staff do not sign in through waco.id — they go straight to the shared inbox. The address is on the Settings page of your dashboard, below the team list, with a Copy button. It looks like waco.id/ruang/your-business.
Share that one rather than the long address in your browser bar. Both lead to the same place, but the short one is far easier to paste into a staff WhatsApp group, and it will not change if we ever move the server.
Two roles, one simple difference
- Administrator — can change settings, add other staff, and see every conversation. Right for owners and managers.
- Agent — handles day-to-day replies. Right for receptionists and nurses.
Handing a chat to one particular person
Once your staff are in, a chat can be passed to a specific person — a patient who needs the doctor's answer, for instance. That is not a forward: you assign the conversation.
If you have several branches
When each branch has its own number, use the Teams setting to point each branch's staff at their own inbox only — so the Bekasi receptionist does not see Depok's chats, while you as the owner still see everything.
