Guides/Getting started
Does my business need WACO yet, or is the free app still enough?
Honestly: plenty of small businesses do not need us yet. Here are the real thresholds.

The WhatsApp Business app (Meta's free one) is a good tool — and for many small businesses it is entirely enough. We have no interest in charging US$20 a month to a business that does not need it yet: a customer who arrives too early ends up disappointed, and that costs us more than waiting until you are ready.
The free app is still enough if…
- One person (or you alone) does the replying, and every chat still gets handled the same day.
- Incoming chats are roughly under 20–30 a day — you still remember who asked what without help.
- The occasional broadcast to regulars still fits the built-in feature (maximum 256 contacts, and only reaching people who saved your number).
- One location, no branch planned.
- No other system (app, point of sale, registration form) needs to send WhatsApp messages automatically.
If every point above is still true for you: stay on the free app and bookmark this page. Waiting costs you nothing — even when you move later, your old chats and contacts come with you (an official Meta feature called coexistence).
Signs it is time to move
These are the signals we see again and again in businesses that eventually switch — usually two or three appear together:
- Two or more people replying in turns — chats start getting missed, answered twice, or "I thought you replied to that one". What you lose at this point is not a chat, it is a customer.
- More than about 30 chats a day — you need division of labour, labels and a marker for what is still unanswered; one person's memory no longer covers it.
- Broadcasts hit the wall — your customer list passes 256, or you need to message people who have not saved your number (invoices, appointment reminders) with different content per person.
- Staff change — and you realise the chat history and the promises made to customers were attached to a person, not to your business.
- You open a branch — and need to see every branch's conversations from one place without asking for screenshots.
- Your systems need to send automatically — registration notifications, OTPs, payment reminders from your own application or point of sale.
- You start running Click-to-WhatsApp ads — and want to know which ad actually produced buyers, not just clicks.
The rough arithmetic
US$20 a month is roughly one hour of an admin's time. If chat chaos wastes more than an hour a month — or if a single customer walks away unanswered — WACO has already paid for itself. If it has not, then it is not time yet, and we are happy for you to wait.
Not sure where you sit? Chat to us from the bubble in the corner — we will tell you honestly if we think you should not be paying us yet.
